Billing Terms & Conditions

These Billing Terms & Conditions (“Billing Terms”) explain how payments are authorized, processed, and handled when you place an order with Ember Vero (“Ember Vero,” “we,” “us,” “our”). By placing an order on our website, you agree to these Billing Terms, our Refund Policy, Shipping Policy, and Terms of Service.

1) Accepted Payment Methods

Ember Vero offers multiple payment options. Available methods may vary by order total and checkout eligibility.

We accept the following payment methods (where available at checkout):

  • Credit/Debit Cards: Visa, Mastercard, American Express, Discover (and other networks as presented at checkout)

  • Digital Wallets: Apple Pay, Google Pay, PayPal, Amazon Pay, Shop Pay

  • Installments / Financing (if eligible): Shop Pay Installments and other options shown at checkout

Shop Pay Installments Disclosure: Payment options through Shop Pay Installments are subject to eligibility and are provided by Affirm lending partners. Options depend on purchase amount, and a down payment may be required. For details, see the disclosures shown at checkout and the lender information referenced there.


2) Payment Authorization vs. Payment Capture (How You’re Charged)

When you place an order, we may:

  • Pre-authorize your payment method (a temporary hold), and

  • Capture/charge the payment once your order is confirmed as available for shipment and submitted to ship.

Order Confirmation Email: After checkout, you receive an order confirmation email indicating we received your order and typically pre-authorized the payment. We then confirm product availability with our suppliers/manufacturers.

  • If an item is unavailable or on backorder and we cannot proceed, we may void the authorization and contact you.

  • If an item is available for shipment (often within 1–5 business days, depending on brand), we will capture the payment and submit the order for shipment.

Important: Authorization holds and posting times can vary depending on your bank or payment provider.


3) Order Acceptance & Right to Refuse or Cancel

Placing an order is an offer to purchase. Ember Vero reserves the right to accept, decline, cancel, or limit any order at our discretion, including for reasons such as product availability, suspected fraud, pricing errors, or verification needs.

If we cancel or modify an order after purchase, we will attempt to notify you using the contact information provided at checkout.


4) Billing Information Requirements

You agree to provide current, complete, and accurate purchase and billing information. We may request additional verification (such as confirming details by phone or email) for high-value orders, fraud prevention, or payment security.

If we are unable to verify payment information or confirm authorization, we may cancel the order.


5) Pricing, Promotions, and Errors

Prices, discounts, and promotions may change without notice. The price charged will be the price shown at the time the order is placed (and confirmed in your order confirmation).

Despite our best efforts, errors may occur (including pricing, descriptions, promotions, shipping fees, or availability). We reserve the right to correct errors and to cancel or refuse any order impacted by an error, including after an order is submitted.


6) Sales Tax

Sales tax is calculated at checkout and collected where required by law based on your shipping address and applicable nexus rules. If no sales tax is due for your location, tax will not be charged. Tax-exempt customers must provide valid documentation prior to processing to qualify for exemption.


7) Cancellations, Refunds, and Return-Related Charges

All cancellations, refunds, returns, exchanges, restocking fees, and timelines are governed by our Refund Policy and may vary by manufacturer.

Key highlights (see Refund Policy for full terms):

  • Cancel anytime before your order ships for a full refund (exceptions apply for custom/made-to-order items).

  • After an order ships, it cannot be canceled. You must accept delivery and then initiate a return (if eligible).

  • Custom / Made-to-Order Products: All sales are final and cannot be canceled or refunded once production begins.

  • Return shipping costs are typically the customer’s responsibility.

  • For outright returns, due to increasing freight costs, returns may incur a 25% cancellation/restocking fee + return shipping (varies by product/manufacturer).


8) Shipping Delays & Disputes

All shipping and delivery dates are estimates and are not guaranteed. Delays can occur due to factors outside our control (manufacturer production, supply chain constraints, carrier delays, labor shortages, weather, etc.).

By placing an order, you acknowledge and agree that:

  • Estimated shipping times may change, and

  • Order delays alone do not entitle you to cancel after shipment or file a payment dispute.

9) Chargebacks & Payment Disputes

We are committed to resolving issues fairly and quickly. If there is a problem with your order, please contact us first so we can assist.

Filing a chargeback for issues we can resolve (including delays outside our control) may delay resolution and can result in the order being placed on hold while we investigate and respond to the dispute.


10) Installments / Financing Terms

If you choose “Pay in 4” or financing at checkout, your installment agreement is between you and the financing provider. Ember Vero does not determine approval, rates, credit decisions, or reporting.

You are responsible for complying with the financing provider’s payment terms.
